Kids Above All is seeking a talented Bilingual Intake Specialist to join our team.
Job Summary: Reporting to the Lake County Early Childhood Supervisor, with support from program coordinators and clerks, the Intake Specialist’s basic function is to maintain active status of re-determinations, assure full enrollment, maintain internal reporting on re-determination status, ensure families are approved for services, and maintain eligibility for Child Care Assistance Program (CCAP).
Essential Functions:
- Inform parents in person, by mail, phone and/or email; in a timely and sensitive manner, when their re-determinations are due
- Provide excellent customer service to parents and other providers over the phone and/or in person
- With parents, complete, assess and determine eligibility for home childcare services as determined by IDHS policies and procedures including verification of documentation submitted in the state database IPACS, CCMS or other designated site(s)
- Create and maintain reports of re-determination status for children and family eligibility in CCAP
- Meet with parents in the office and/or at their home daycare provider to assist with re-determinations
- Assist FCCH Coordinators and Clerks in preparing all required, accurate IDHS and Kids Above All (KAA) documentation as needed to ensure eligibility for the Child Care Assistance Program (CCAP)
- Inform KAA Finance Department of any changes in parent copayments and/or contact information as a result of re-determination
- Assist FCCH Coordinators with enrollment of families and recruitment
- Assist parents in KAA Service Plan
- Meet at least monthly with Lead FCCH Coordinator or Early Childhood Supervisor for supervision and support
- Make referrals to other agencies and/or hotlines for any additional community resources families may need
- Assist in translation of parent announcements and letters, etc.
- Ensure confidentiality of parent information received and managed by the agency
- Meet at least monthly with full FCCH Team
- Participate in mandatory monthly all-site meetings and other agency event as necessary.
- Attend mandated and other appropriate workshops/presentations that will promote professional development.
- Responsible for the program complying with all IDHS and KAA performance standards, including promoting the health and safety of all the children, following sanitation procedures and universal precautions, complying with the Confidentiality and Child Abuse & Neglect Acts as a mandated reporter, and other KAA Policies and Procedures
- Other duties as assigned
Qualifications:
- High School Diploma or equivalent; Associate’s Degree preferred
- Experience with customer service
- Familiarity with Child Care Assistance Program strongly preferred
- Experience with data entry
- Strong organizational and filing skills
- Fluent in English and Spanish
- Valid driver’s license and provide own transportation to various locations throughout the county
- Home internet access
